Payment & Booking Confirmation

To secure your reservation at Hegoa Surf Camp, full payment for the selected services must be made. After completing the booking form on our website, you will receive a confirmation email containing payment details. Your booking will only be confirmed once the payment has been successfully transferred to our bank account or processed via other payment methods. By making your payment, you agree to all terms and conditions outlined in this policy.

Booking Conditions

All personal information must be provided exactly as it appears on your official travel document.

• The minimum age for participation is 16 years (exceptions may be considered upon request—please reach out to us).

• Prices may fluctuate depending on seasonality and availability. If a price change occurs before final confirmation, the difference must be settled by either party.

• In the event of unforeseen circumstances, Hegoa Surf Camp reserves the right to modify bookings. However, core services will remain unchanged, and we take full responsibility for any issues arising on our side.

Photography & Media Use:

By booking with us, you grant Hegoa Surf Camp the right to use any photos or videos taken during your stay for promotional and marketing purposes. If you do not consent, please inform us before your arrival.

Use of Camp Equipment

All guests are responsible for the proper use of camp equipment.

• Any loss or significant damage due to negligence or misuse will be the guest’s responsibility.

• Some equipment (such as surfboards, wetsuits) may have restricted usage times for safety and fairness to other guests. These times will be communicated upon arrival.

• All equipment should be treated with care, as if it were your own.

Transfers

Transfers are available as part of specific packages and must be booked at least 7 days prior to arrival.

• Transfers will be grouped for efficiency, and pick-up and drop-off times may vary. While we aim to provide reasonable schedules, Hegoa Surf Camp is not responsible for missed flights, buses, or trains due to unforeseen delays.

• Transfer payments are one-way unless stated otherwise.

• Transfer service cancellations require a minimum of two weeks’ notice for a refund.

Health, Dietary Needs & Insurance

By booking with us, you confirm that you are medically fit to participate in surf lessons and other camp activities.

• If you have any pre-existing health conditions that could affect your stay, please notify us before your arrival.•

Dietary Needs: We cater to all dietary restrictions and allergies. After booking, you will receive a form to complete, where you can inform us of any specific needs.

Insurance Requirements: Guests must have either: Valid medical insurance that covers potential injuries, or Travel insurance covering medical expenses. Hegoa Surf Camp does not cover medical costs for injuries sustained due to accidents, sports activities, or other unforeseen situations.

Cancellations & Refund Policy

We strongly recommend purchasing travel insurance to cover unexpected cancellations.

Cancellations are valid from the date we receive written notice (email confirmation required).
• Refunds will be processed according to the following schedule:

• 100% refund if canceled at least 2 months before arrival.

• 75% refund if canceled at least 6 weeks before arrival.

• 50% refund if canceled 4 weeks before arrival.

• No refunds for cancellations made less than 4 weeks before arrival. No refunds will be issued for early departures or missed activities due to personal reasons, illness, or injuries.

Modification of Bookings & Promotions Policy

Changes to Booking Dates:

If you change your booking to a later date, any previously applied promotions will no longer apply.•

Exclusive Promotions:

• If you booked a June promotion (e.g., Free Transfers for June) and change your booking to July, the free transfers will not be transferred.

• Likewise, if we launch a new promotion (e.g., Free Surf Lessons for June), guests who previously booked the Free Transfers offer cannot switch to the new promotion.

• Each promotion is exclusive, non-transferable, and only available for bookings made during the promotion period.

No-Show & Late Arrival Policy

No-Show Policy:

If a guest does not arrive on the scheduled check-in date without prior notice, their booking will be considered canceled, and no refund will be issued.

Late Arrival Policy: If a guest arrives later than planned, the remaining nights of their booking will still be honored, but no refund will be given for missed days.

Early Departure Policy

If a guest chooses to depart early, no refund will be given for the unused portion of their stay.

Force Majeure Clause

Hegoa Surf Camp is not liable for cancellations, interruptions, or changes due to circumstances beyond our control, including but not limited to:

• Natural disasters.
• Extreme weather conditions.
• Political instability or government travel restrictions.
• Pandemics or epidemics.

No refunds will be issued in these cases, but rescheduling options may be provided where possible.

Pets Policy

Small pets are allowed upon request. Please contact us in advance to confirm your pet's stay.

Code of Conduct & Respect Policy

We welcome travelers from all backgrounds and expect guests to treat fellow travelers, staff, and the local community with respect.

• Discriminatory, aggressive, or disruptive behavior will not be tolerated and may result in immediate removal from the camp without a refund.

Governing Law & Jurisdiction

All disputes arising from this agreement shall be governed by French law, and any legal proceedings will be held in the courts of France. By agreeing to these terms, you consent to the jurisdiction of the French courts for resolving any disputes related to your booking or stay at Hegoa Surf Camp.

By completing your booking and payment, you agree to all the terms and conditions outlined in this policy.

Definitions

The following terms are defined for the purposes of this policy:

Company: Refers to Hegoa Surf Camp, located at 185 chemin de mayarco (also referred to as "we," "us," or "our").

Goods: Refers to the products and services available for purchase through our website or in person.

Order: Refers to your request to purchase Goods or Services from us.

Service: Refers to our website or any other platform used for sales and bookings.

You: Refers to the individual or entity making the purchase.

Order Cancellation Rights

You have the right to cancel your Order under the following circumstances:

For Goods (Physical Items): You may cancel your order within 14 days of receiving the Goods without giving a reason. To cancel, send us an email at contact@hegoasurf.com with a clear statement of your intent.

For Services (e.g., Surf Camp Bookings): Cancellations are subject to the terms outlined in our Booking Policy just above. Please refer to this policy for more information.

Refund Process

Refunds will be processed within 14 days of receiving the returned Goods or confirming the cancellation for Services.Refunds will be issued to the original payment method with no additional processing fees.

Promotional Offers: Refunds for bookings with promotional offers (e.g., free transfers or surf lessons) will exclude the value of the promotion if the cancellation terms in the Booking Policy are met.

Conditions for Returns of Goods

To be eligible for a return, the following conditions must apply: The Goods must be purchased within the last 14 days. The Goods must be unused, in original packaging, and in resalable condition.

Non-Returnable Goods: The following items cannot be returned: Custom or personalized items. Goods that deteriorate quickly or are past their expiration date. Goods that are unsealed for health or hygiene reasons after delivery (e.g., wetsuits). Goods that have been inseparably mixed with other items after delivery. We reserve the right to refuse returns that do not meet the above conditions.

Refund Denials

Refund requests may be denied under the following conditions: The Goods do not meet the return conditions specified in this policy. The Goods are damaged due to misuse, improper storage, or other factors outside our control. For bookings or Services, if the cancellation occurs outside the refundable period as specified in the Booking Policy.

Customer Feedback & Dispute Resolution

We value your feedback and strive to resolve any issues promptly. If you have any concerns regarding your purchase, please contact us at contact@hegoasurf.com. If disputes cannot be resolved through communication, they will be governed by French law .

Local Legal Compliance: Under EU consumer laws (including GDPR):You have the right to withdraw from your purchase of physical Goods within 14 days of receipt without needing to provide a reason, as long as the items meet return conditions. Refunds and cancellations for Services are governed by our Booking Policy. We respect your data privacy; please refer to our Privacy Policy for further details.

Promotional Offers

Promotions are subject to the following conditions: Promotions are non-transferable and only valid for bookings or purchases made within the offer period.

Modifications or Cancellations: If you modify or cancel your booking, any associated promotional offers will no longer apply. For example: If you booked free transfers for June and later change the booking to July, the free transfers will not carry over. If a new promotion is introduced after your booking, you cannot switch to or combine promotions. Discounts or promotional benefits cannot be applied retroactively to previous purchases or bookings. Returning Goods You are responsible for the cost and risk of returning Goods. We recommend using an insured and trackable shipping service for returns. Refunds cannot be processed without proof of return or delivery.

Damaged or Lost Returns:

We are not responsible for Goods that are damaged or lost during the return process.

Gifts

If the Goods were marked as a gift during purchase and shipped directly to you, you will receive a gift credit equal to the return value. A gift certificate will be issued upon receipt of the returned item. If the Goods were not marked as a gift, the refund will be processed to the original purchaser.
